HOWTO: Open a shared mailbox on your account

Here’s a step-by-step guide for opening a shared mailbox on desktop and mobile devices:

On Desktop (Outlook App or Web)

1. Using the Outlook Desktop App (Windows/Mac)

  1. Open Outlook on your desktop.
  2. Click on File in the top left corner.
  3. Select Account Settings > Account Settings.
  4. Highlight your account and click on Change.
  5. In the new window, click More Settings at the bottom right.
  6. Select the Advanced tab.
  7. Click on Add under the section “Open these additional mailboxes.”
  8. Enter the name of the shared mailbox (or the email address).
  9. Click OK and then Next, followed by Finish.
  10. Restart Outlook, and the shared mailbox should appear in your folder pane.

2. Using Outlook Web (Outlook on the Web)

  1. Log in to Outlook on the Web (https://outlook.office365.com).
  2. Click on your profile icon at the top right and select Open another mailbox.
  3. Enter the email address of the shared mailbox and click Open.
  4. The shared mailbox will open in a new tab.

Alternatively:

  • Right-click your Folders in the left navigation pane.
  • Choose Add shared folder, enter the email address of the shared mailbox, and select Add.

On Mobile (Outlook App for iOS/Android)

  1. Open the Outlook app on your mobile device.
  2. Tap the profile icon or the menu icon (three horizontal lines) in the top left corner.
  3. Tap Settings (gear icon).
  4. Under Mail Accounts, tap on your account.
  5. Tap Add Shared Mailbox.
  6. Enter the email address of the shared mailbox and tap Add Mailbox.
  7. The shared mailbox will now appear in your account list on the left side, and you’ll be able to switch between it and your primary mailbox.

By following these steps, you’ll be able to access a shared mailbox on both desktop and mobile devices.
